Securing Sensitive HR Data in Workday: The Importance of Assignable Roles

In Workday, "Assignable Roles" are used to define different levels of access and security permissions for various HR-related tasks and processes within the platform. These roles help ensure that employees have the appropriate level of access to the platform and that sensitive HR data remains secure.


For instance, let's say an organization has an "HR Manager" role within Workday. This role might have access to various HR-related tasks and data within the platform, such as managing employee benefits, reviewing employee performance data, and running reports related to HR metrics. The HR Manager role might also have the ability to approve or deny employee requests, such as time-off requests or expense reports.


On the other hand, an "Employee" role within Workday might have more limited access to the platform. This role might only be able to view their own personal data, such as their pay stubs, tax information, or vacation time. They might also be able to submit time-off requests or view job postings within the organization.

To ensure that sensitive HR data remains secure, Workday allows organizations to create more specific "Assignable Roles" within the platform. For example, a "Benefits Administrator" role might be created to manage employee benefits, while a "Recruiter" role might be created to manage job postings and applicant data.


Similarly, organizations might want to restrict access to certain HR data to only certain roles within the organization. For example, they might create a "Restricted HR Manager" role within Workday that has access to all HR-related tasks and data except for employee salary data. This role could then be assigned to HR managers and executives, while other employees would be assigned a different, more limited role.


Overall, "Assignable Roles" are an important part of Workday Security, particularly for HR-related tasks and processes.
